In addition to our core services, which are set out by Scottish Government, we are delighted to introduce the following enhanced services for VASA members

Membership Fee 2011

During our Launch Year we are offering membership at an introductory rate of just £15.
All new VASA members will receive a complimentary 50 pounds to buy /part-buy VASA delivered services.

Third Sector Thematic Group Membership

In order to advance the relationship between the Third Sector and the Community Planning Partnership (CPP), VASA plans to create Third Sector (TS) Theme Groups.  These Groups will mirror the current CPP Theme Groups.
This TS Relationship Model  will ensure the sector has an effective platform that will enable dialogue with the CPP.
VASA will also provide a variety of practical support for TS Theme Groups including: 

  • Hosting quarterly Group meetings
  • Facilitating the flow of information between the CPP Theme Groups and the appropriate TS Theme Groups
  • Providing administration support (including minute taking/preparation services) at TS Theme Group Meetings
  • Assisting TS Theme Groups to engage effectively with the CPP

There will be 6 Third Sector Theme Groups in South Ayrshire that will mirror the CPP Theme Groups as follows:

  • Economic Development Partnership
  • Sustainability Partnership
  • Alcohol & Drug Partnership
  • Community Health Partnership (Children)
  • Community Health Partnership (Adults)
  • Community Safety Partnership

Bi Monthly E-Newsletter

The bi monthly E-Newsletter will bring you up to date with news on policy affecting the Third Sector.  It will also take a look at what’s happening locally, let you know about new training courses,initiatives and services available from VASA and our partners.

VASA Awards and Member Rights

Volunteer Ready Award (from Autumn 2011)

Volunteer Ready Award will be available to VASA members.  It will involve a member of our staff team carrying out a health check on your organisation, developing an action plan and then supporting you to ensure you have all the support mechanisms in place to recruit, train, support and retain volunteers.

VASA will hold an award ceremony once a year to present awards to organisations who have met the criteria for the Volunteer Ready Award.

Voting Rights (at VASA AGM)

As a member of VASA you will be entitled to vote at our yearly AGM and have an input into the future decision making process.

Nomination of Volunteers for the South Ayrshire Volunteer Award Scheme

In response to popular demand, VASA will be introducing the South Ayrshire Volunteer Award towards the end of the year.  These awards will be presented to volunteers who have made a big impact locally through their volunteering activities.

Member organisations will be able to nominate volunteers for each category.

Funding Assistance

Free Access to Funding Workshops and Networking Forums

VASA will be running a series of funding workshops and networking events on a regular basis across South Ayrshire.  As a member of VASA, your organisation will be able to attend these events free of charge and have priority with regard to booking places. 

50 VASA Pounds towards a range of services delivered by VASA

All VASA members will receive 50 VASA pounds that may be used towards purchasing VASA services.  These include:

    • Bespoke Mediation Services
    • Room Hire (for training/meetings)
    • Access to VASA database information/mailing service

Accounting Services

VASA as an organisation is delighted to introduce a new range of Accounting Services for unincorporated associations/registered charities that comply with OSCR charity regulations.

Our goal is to provide specialist and accessible accounting services in order that organisations, agencies and groups can develop and flourish in South Ayrshire. 

Our Accounting Support team has completed Independent Examination training by the Association of Charity Independent Examiners (ACIE).  ACIE have been promoting excellence in Independent Examination since 1999.  It has also become a national voice in influencing policies with regard to government legislation.  Its activities have the support of OSCR.

Our fees are highly competitive and our Accounting Support team is committed to providing a well-informed, cost effective service.

VASA can provide the following accounting services for VASA members:

Preparation of Accounts
Help to prepare your accounts to meet charity accounts legislation.  Charity accounts have to be prepared in accordance with the OSCR 2006 regulations.

Independent Examination
An independent examination will look at a charity’s/organisation’s accounting records and annual accounts and consider whether the annual accounts are a fair reflection of the underlying records.  An independent examination provides assurance that the figures in the accounts, including the Trustees’ Annual Report (where applicable), present an accurate picture of the financial activity of the charity during the accounting period.

Note: The Independent Examination/Preparation of Accounts service can only offer be offered to Third Sector organisations, agencies and groups who are not registered with Companies House.  They must also have an annual income of less than £100,000 (£250,000 from April 2011).

Book-keeping Services

VASA can offer bespoke support to help maintain an effective accounting system.  This service will be tailored to meet the needs of the organisation, agency or group.  It can be as simple as one-off support to set up a book-keeping system or can be as comprehensive as maintaining your accounting system.

SAGE Accounting & Payroll Training

VASA can signpost VASA (member) organisations, agencies and groups to discounted training in SAGE accounting and Payroll through our partner agency, Real Work Skills.

Bespoke Mediation Services

VASA now have three trained mediators who can provide a bespoke service to Third Sector organisations.   Mediation could help with regard to, for example, a dispute between volunteers, board members etc.

A free no obligation consultation is available by appointment.  Thereafter rates start from £20.00 per hour.

Room Hire (for training/meetings)

The Harbour Room
VASA has now has a fully equipped training/meeting room (maximum 12) available for hire on an hourly, half day and full day basis.  Equipment includinga plasma screen, OHP, flip chart, loop system, dry marker board, water, tea, coffee and mints are all included in the hire rate.

The Quayside Room
This small room is ideal as a breakout room or for interviews, counselling sessions etc.

The room has its own CD player, wi-fi, flip chart and comfortable seating area (maximum 6).  Tea, coffee, water and mints included in the hire rate.

Stationery packs,including writing pads and pens can be provided, if required, at an additional cost. 

Refreshments ranging from biscuits and scones to buffet lunches can also be provided to meet the needs of our clients.

Access to VASA database information/mailing service

VASA members can promote and pass on information to other Third Sector organisations by utilising our database.  In addition, we can offer a mailing service for our members to organisations on our database (fee payable depending on the size of the letter, quantity and materials and postage used).

VASA has the following pieces of equipment that can be rented out on a daily(£10.00)/weekly (£25.00) basis.  This includes the following:

  • Vending flasks (£5.00 per week)
  • Full set of cutlery, crockery and glassesfor up to 80 covers (price on request)
  • Portable TV
  • Display boards
  • Electronic Big Number Bingo Machine (for fundraising events)
